EcoLite Holdings, LLC ("EcoLite," "we," "us") operates the EcoLite Vendor Portal at portal.ecoliteled.lighting (the "Portal"). This Portal is an invite-only platform for authorized vendors, partners, and employees to search our product catalog, build quotes, manage customer relationships, and access brand assets.
This policy applies only to the Portal. Our public marketing sites — ecoliteled.lighting, ecosport.lighting, and ecoliteexp.lighting — have their own policies.
The Portal is gated by Cloudflare Access, which requires email-based one-time password (OTP) or Google Single Sign-On (SSO) authentication. Only email addresses on our authorized list can access the Portal.
Cloudflare Access sets a session cookie (CF_Authorization) that authenticates you for the duration of your session. This cookie is managed by Cloudflare and governed by Cloudflare's Privacy Policy.
Account data: Your name, email, company, brand assignment, and role (admin/rep) are stored in our D1 database. This data is used to personalize your portal experience and enforce brand-level access restrictions.
Quote & customer data: Quotes you build (product selections, quantities, pricing), customer records (name, contact, ship-to address), and CRM data (project tracking, research notes) are stored in the D1 database associated with your tenant account.
AI agent sessions: When you use the portal's AI assistant, your conversation history, uploaded documents (including PDFs of lighting schedules), and AI-generated analysis are stored in the D1 database. Sessions are retained for up to 90 days before automatic cleanup by the janitor process. You may have up to 100 sessions.
Usage data: Cloudflare Access logs and Worker analytics may capture IP addresses, request timestamps, and user agents for security and operational purposes.
We do not sell, rent, or share your personal information with third parties for marketing purposes.
The Portal includes an AI assistant that can analyze uploaded documents (PDFs, images of lighting schedules). When you upload a document:
By uploading documents, you represent that you have the right to share them with EcoLite for processing. Document data is not used to train any AI model.
The Portal uses the following cookies:
CF_Authorization — Cloudflare Access session cookie. Essential for authentication. Expires when the session ends or after the Access policy timeout.CF_AppSession — Cloudflare Access application session. Tracks your active session within the Access application.The Portal does not use Google Analytics, advertising cookies, or third-party tracking pixels. See our Terms of Service for usage terms.
Active data: Quotes, customers, and CRM data are retained for the duration of your business relationship with EcoLite.
AI sessions: Conversation history and uploaded documents are retained for up to 90 days, after which the janitor process automatically deletes them. You can delete sessions manually at any time.
Offboarding: When a vendor or employee is offboarded, all associated D1 data (sessions, quotes, customer records) is wiped within 24 hours. Brand-locked data is scoped to the tenant and cannot be accessed cross-tenant.
Under the GDPR (EU/UK), CCPA (California), and similar regulations, you have the right to access, correct, delete, port, or object to the processing of your personal data. To exercise these rights, contact info@ecoliteled.com.
The Portal runs on Cloudflare's edge network with TLS encryption (HTTPS) for all connections. Authentication is managed by Cloudflare Access (OTP/SSO). Data at rest is stored in Cloudflare D1 (SQLite-based) and R2 (object storage), both encrypted at the infrastructure level. Multi-tenant isolation is enforced at the Durable Object level — each tenant's data is stored in a separate DO instance with no cross-tenant access paths.
We may update this policy from time to time. The "Last updated" date reflects the most recent revision. Material changes will be communicated to active users.
